Access Rights for Custom Feeds and Folders

Discover how to set access rights both at the feed and folder level.

With custom feeds you can filter identified companies based on different criteria. You can also group these feeds into folders for better organisation of your data.

We understand that you may not want every feed to be available to every user, or every user to have edit rights on every feed. To solve this, you can set access rights both at the feed and folder level.

Custom Feed Access Rights

When you create a new custom feed, the box 'Make this feed public' is checked by default. This gives all users of this account editor access to this feed.

If you uncheck this box, this custom feed will be 'Private', so only visible to you. You can choose to share it with specific users or manage permissions after saving the feed.

After saving, in order to enable other users to view this feed, you can 'Share' it with them, using the Share button at the top right of the custom feed window.

When you click on Share only you will be listed under 'Currently sharing with', with 'Owner' rights.

Search for or type in the name of the user/s you wish to share this feed with. Once you click on their name they will be given 'Viewer' rights by default.

If you wish to change this, use the dropdown menu to choose between 'Owner/Editor/Viewer'.

Owner: Can add or remove users, plus edit the feed filters.

Editor: Can edit the feed filters

Viewer: Can only view the feed data

You can also 'Remove access' if you selected their name by accident or have changed your mind.

Click Share on the pop up window to confirm.

You will now see yourself listed as the feed 'Owner' and the initials of the users who have access to this feed. If you hover over the initials you will be able to see the full names.

To modify the access rights to this feed in the future, simply click the Share button again, add or remove users, or change access rights, and click Share on the pop up window to confirm.

Please note: If a user has access to a custom feed via feed folder access rights, you will be unable to remove their access at the feed level, you will need to do so at the folder level.

Custom Feed Folder Access Rights

Rather than setting access rights per individual feed, you can set them per folder. You may, for example, have a group of feeds that you only want your sales team to have access to, and a group of feeds you only want marketing to have access to.

Please note: You must have created a custom feed folder to be able to set access rights, if you haven't done so, you can find guidance on how to do this here.

On the left hand side of the app you will see your Feed folder. Find the one you wish to set access rights on and click the three dots on the right. This will display a mini menu, click Share.

A pop up window will appear and you should see yourself listed as the Feed Folder 'Owner', under 'Currently sharing with'.

You will see a note at the top of the window reminding you that 'this action will apply to all feeds in this folder'. For example, if you add a user to this folder, with 'Editor' rights, they will be able to Edit every feed in this folder.

Search for or type in the name of the user/s you wish to share this folder with. Once you click on their name they will be given 'Viewer' rights by default.

If you wish to change this, use the dropdown menu to choose between 'Owner/Editor/Viewer'.

Owner: Can add or remove users to the folder, plus edit all of the feeds' filters.

Editor: Can edit all of the feeds' filters

Viewer: Can only view the feed data

You can also 'Remove access' if you selected their name by accident or have changed your mind.

For all the feeds within this folder, you will now see yourself listed as the feed 'Owner' and the initials of the users who have access to this feed. If you hover over the initials you will be able to see the full names.

To modify the access rights to this folder in the future, simply click the three dots next to the folder, and then Share. From here you can add or remove users and change access rights. Click Share on the pop up window to confirm any changes.

Whenever any 'Owners' of this shared feed folder next create a new custom feed in here, all users with access rights will be able to see it.

Please note: You are unable to create custom feeds in folders you don't have 'Owner' access to.

Folder Rights Hierarchy

A user's access rights for a folder are the minimum their access level can be for all feeds within this folder. We'll explain this with some examples below.

Reducing Access Rights

If you have granted rights to a user for an entire folder you are then unable to reduce their rights for an individual feed. For example, if you have granted them 'Owner' rights to the folder, you can't then reduce their access to 'Editor' on a feed within this. Similarly, if you have granted a user 'Editor' rights to a folder you can't downgrade them to be only a 'Viewer' on a single feed.

Increasing Access Rights

You can however increase a user's access at the feed level if you wish, even if they have a lower access level for the whole folder. For example you may group together all of your marketing feeds, so the whole marketing team have 'Viewer' access, but you would like your CPC specialist to have 'Editor' access on the CPC specific feeds. You can simply edit and increase the access for your CPC specialist at the feed level.
